Onboard Users

Who is this section for?

This section is for the Tenant Admin, who is responsible for inviting Users to the Platform. See the Tenant Admin role guide for the full scope of that role.

Overview

Before a User can access CIVITAS/CORE, a Tenant Admin must create their account. Creating a User sends them an invitation by email, which they use to set up their password and log in for the first time.

This page explains:

  • how to create a User
  • which validation rules apply when creating a User
  • what a newly invited User experiences on their first login

Once a User has access, assign them to a Group with the appropriate Roles so they can start working.

Creating a User

  1. Open User inside of the Tenant Management from the sidebar in the ADMIN area.
  2. Select + Create User (+ User erstellen).
  3. Enter the User's Name and Email address.
  4. Hit save. The User is added to the User List and receives an invitation email.

Validation rules

The following rules are enforced when creating a User:

  • Email format: the email address must be a valid email address.
  • Email uniqueness: the email address must not already be in use by another User in the tenant.
Duplicate email address

If you create a User with an email address that already exists in the tenant, the request is rejected and the following error message is displayed:

The email <email-address> is already taken. Please choose a different email address.

("Die E-Mail <email-address> ist bereits vergeben. Bitte wählen Sie eine andere E-Mail-Adresse.")

To resolve this, use a different email address, or check the User List to see whether the person already has an account. Another option would be to delete the existing User with the desired email address.

First login

After a User is created, they receive an invitation email containing a secure login link.

  1. The User opens the link from the invitation email.
  2. They are prompted to create a password for their account.
  3. Once the password is set, they are logged in to the Platform.

This flow is self-explanatory for the invited User. No further action is required from the Tenant Admin once the invitation email has been sent.

The invitation email may end up in the spam folder of the recipient's inbox.
